The event calendar is a key feature for hotel users, providing an efficient way to view and access bookings, events, room blocks, and daily notes in a customizable layout. With quick filter options, it simplifies operations while offering a fast overview of event availability.
This article will cover the standard calendar functions on the event level, followed by the optional booking and room block functionality.
To access the calendar, navigate from the left toolbar.
The calendar can be viewed in Month, Week, Day, or Timeline format.
You can jump to specific dates or return to today with a single click, and you can easily skip forward or backward through the dates.
By default, the calendar displays all individual events in each view. Events are clickable, opening a quick pop-out module to view or edit event details.
| The pop-out module also gives access to the overarching booking and related Account, Contact, and document information if available. |
|
The search bar at the top right quickly isolates specific, detailed names or aspects of your bookings and events.
Filters
While viewing events, the filter options allow filtering by selected statuses, specific locations, and rooms, as well as by owner.
Events can also be colored by room, location, and status.
Advanced filters allow filtering by guest count, F&B Minimums, and events included within documents.
Keep in mind all filters are set by the individual user, will only apply to that individual, and will remain until cleared out.
Notes
Clicking the note icon on each calendar day allows you to add, edit, or view notes that can span specific times and days.
These notes can be used strictly for communication or to prevent booking selected event spaces.
*Note: If the note only applies to one or specific locations, be sure to mark those locations; otherwise, the note will appear for all users and properties across the group.
Room blocks and bookings
Room blocks and bookings can be viewed and directly accessed through the events calendar using the Select Type drop-down at the top of the calendar.
The calendar view selector includes three options: Events, Bookings, and Room Blocks. At least one option must remain selected at all times. By default, Events is selected. Users can adjust the view by selecting any combination of the available options. To deselect Events, another option must be selected first.
On the calendar Month View, bookings will always appear stacked at the top, followed by guest room blocks, and then events. Bookings and guest room blocks will display as multi-day blocks on the calendar, spanning from their start date to their end date.
In the Week and Day views, the All Day row will display the Bookings and Guest Room Blocks below the Notes row.
Room blocks and bookings will not be visible on the timeline view.
If the calendar color is being filtered by status, the color of the booking or guest room block will be based on their respective status.
-
Bookings are marked with a status-colored tab on the left-hand side, and the booking bar going across the date range will have a lighter shade of the status color.
- The room blocks are marked with a status-colored sleeping bed icon, and the room block bar going across the date range will have no background but outlined in the same color.
If the calendar color is being filtered by location, both bookings and guest room blocks will reflect the chosen location colors.
If color by room or event styles is selected, the bookings and guest room blocks will retain their original status colors, as they are not tied to specific rooms or event styles.
When viewing the booking or guest room blocks, the names are displayed on the calendar block but the blocks are also selectable, clicking on them opens the booking or guest room block pop-out modal.
