In this article, we will be discussing adding Room Blocks to your Booking.
Keep in mind when converting a Lead with requested guest room nights, the guest room block outline will be automatically created for you.
Otherwise, you will click the "+ Add a Guest Room Block" button
Once The Room Block window opens...
- The Booking start date will translate to The Block start and end date.
- The guest room block name will be pulled from the booking name.
- If you need extended dates, you can add them here.
- Fill out the block release date.
- If converted from a lead, and the guest has requested sleeping rooms, The "Requested Rooms Per Night" field will populate for quick reference.
Below the status, you will find the guest room summary. This provides a real-time visual of the room nights allocated to this block. As you build the block, you will be aware of how many rooms you've added per night.
Next, let's discuss the allocation.
- All of your property's room types are listed below and will be collapsed by default.
- When you click on a room type, a table will appear where you can allocate the room nights.
- If you need to reference your GRC (Guest Room Control) quickly, you can click on one of the dates and a pop-out window will appear.
- Next, you can add the number of rooms for this group in the agreed field. The "agreed" field typically represents the contracted amount and will show on client-facing documents.
- As you click into the "blocked" field, it will auto-populate the same number as agreed. The blocked room nights will be reflected in your GRC and property management system if integrated. This entry directly ties to the inventory being held and can be adjusted to differ from the agreed number.
- Forecasted rooms are an additional reporting option depending on your operations.
*If you are contracting on different occupancy rates per room, be sure to add a rate for single and double occupancy etc. if applicable. This is done by inserting a slash between the two rates. i.e., $200/$200.
If you wish to send rates for triple and quadruple occupancy, you may do so by adding additional slashes. i.e. $200/$200/$250/$300.
To copy the entire column, you can use the keyboard shortcut "Ctrl + B". This will bring all fields over to the column on the right. If needed, you can also copy just one row.
You can continue building your block with other room types if needed. The guest room summary table will update in real-time, giving you a quick snapshot of the room nights in this block.
Once you are done building the block, you can add additional blocks, create events, or simply save the booking. You can make edits or add pickup numbers from the guest room block tab at any time.
