In Tripleseat, calendar notes are a helpful tool that offer two main functions. First, calendar notes allow you to communicate day-specific information to other users. Second, calendar notes allow you to block off a room or style of event (e.g. full service or pick up catering) on a given day and time. Calendar notes can also be configured to follow repeat rules for situations where you require a recurring note. For example, say you host a bi-weekly Trivia Night. You do not need an event in Tripleseat as all attendees will arrive and pay separately. However, you do not want any other private event to be booked in the Lounge at the same time. This article will explain how you can create a calendar note to block off events in that space.
To create a calendar note, you should:
- Navigate to your Calendar Page.
- On the day where you wish to add a note, click on the quote icon that says Add Note.
- In the popup window, give the note a title, and select what room or event style the note should apply to. If that note will only last for a portion of the day, set a start and end time for the note. Click "Prevent bookings for the duration of this note" if you'd like to prevent events from booking during this note.
- If this will be a recurring note (like weekly Trivia or Music Night), click Repeat. That will open a popup where you can define the frequency of this recurring note. Save.
- Click Add New Note when you are finished. That will ensure the note appears for all users with access to the location in question. Then, should anyone on the team attempt to book that space, they will get an error message informing them of the conflict.
Pro Tip: To create notes on the calendar, you must have a user role with permission at least to "Create Events." If you do not have that level of access, please contact an Admin at your site. They can update the user role on file for you in Settings > Users.
