This article will review some quick actions to add and remove events from Booking Documents for different situations.
Adding new Events to Documents
When creating Booking documents initially, it is best practice to include all Events in the Booking. However, for newly added events after the creation of Booking documents, they can be added to an existing set.
In the example below, we see a mid-week conference that includes 4 Events. Documents have already been created, and details have been added. Our client has called and requested we add a Company Dinner to last evening.
After creating the new Event, there are two ways to add that Event to existing Documents.
1. Adding new Events into existing Docs from the Grid
Check the box to the left of the Event
Click the” Add Document” button above the Grid
Add the Event to the existing set of Documents
2. Adding new Events into existing Docs while working in the documents
Select the “+Add Events” button toward the top right of your screen
Check the Event(s) you would like to add into your docs
Click Continue
Once Events are added, you can detail them normally, and totals will be included in the Booking financials.
There will also be situations when a client has requested an additional Event that ends up having the same or similar details as an existing one.
If the Event has been created without details and you would like those details to be mirrored from and existing, this can be done quickly when adding into existing docs.
While within your Documents
Select the “+Add Events” button toward the top right of your screen
Check the Event(s) you would like to add into your docs
- Within that same window, in the drop-down above, select the Event you would like to copy details from
All sections will default to be copied, but you can unselect any sections you wish not to copy
- Once added, you can adjust accordingly
If an Event is moved to lost or deleted, it will not automatically be removed from Documents. After deleting or changing the status to lost, you will have to remove it from the Documents.
- While in your document set, make sure you have highlighted the Event tab being removed
Click the “Delete from this document” button
Save
