The GRC stands for Guest Room Control and The GRC is your go-to for checking availability for Guest Rooms and Event Spaces. This article will explain the terms on this page and how to use the GRC.
USING THE GRC
The top third of the GRC page will display room block information and the corresponding bookings by status.
The middle third of the page will display availability and rates for group blocks.
The bottom third of the page will show the events that are associated with bookings in a timeline view.
Based on your role or needs, the screen can be adjusted by dragging the solid black lines up or down. Suppose a client is looking to book a room block and a conference room for a work event. To check room availability, expand ‘Group Available’ to review inventory. To check availability for the conference room, expand the bottom third of the page. Once the dates are determined, click on the date’s column head to create their booking directly from this page.
TERMS TO KNOW
Total Hotel Rooms
The total number of guest rooms available at that location. With sufficient permissions, you can update inventory in Settings > Locations > Guest Rooms.
Allocated Rooms to Sell
The number of rooms the Group Sales team is allowed to sell to group clients in blocks. This number will pull from your PMS. If you do not integrate, this number will pull from Guest Room Inventory and will be the total number of a room type minus the Transient Protected.
Transient Protected
The number of rooms not eligible to be sold to blocks. Transient Protected rooms may only be sold to individual travelers. The number of Transient Protected rooms for each room type will pull from your PMS, or else will be defined in Settings > Guest Room Inventory.
Total Blocked
The total number of rooms already blocked by group business on that date. This number will pull from room blocks in Tripleseat. The Total Blocked will also display the Average Rate (Avg. Rate). This is the average cost of a room blocked for that date.
Pickup
The number of blocked rooms that have already been reserved by guests, i.e., “picked up from the block.”
Prospect Bookings
The number of rooms being blocked for bookings in Tripleseat with a status of Prospect.
Tentative Bookings
The number of rooms being blocked for bookings in Tripleseat with a status of Tentative.
Definite Bookings
The number of rooms being blocked for bookings in Tripleseat with a status Definite.
Group Available
The number of rooms available on that day for the Group Sales team to sell.
MAR
The Minimum Acceptable Rate is the lowest rate the Sales Manager is allowed to authorize when selling group rooms. The MAR is defined in Settings > Locations > Guest Rooms or in your PMS if you integrate.
Rate
The target rate for selling each room type within the Group Available. The Rate is defined in Settings > Locations > Guest Rooms or in your PMS if you integrate.
FILTERING THE GRC
You can adjust the the timeframe displayed and information included using the buttons at the top of the page. Starting in the upper left, choose the number of days that you’d like to see information for. Then you can use the Date field to choose the start date for that range.
Then, if you have multiple hotel locations in Tripleseat, you can use the Location dropdown to select which business you’d like to look at. Finally, using the Options button, you can select and unselect what Room Block data you’d like to display. Any filters you set here will apply just to you and will not impact any other users on your team.
Pro Tip: Do you have multiple locations in Tripleseat? In the GRC, you can click Options > Click to Modify (under Timeline Location / Rooms) and check off those other venues. That will add their event spaces to the bottom third section of the page so you can see their events too for the day(s) in question.
