Direct Book Settings for Large Party Reservations

Tripleseat’s newest event style, Large Party Reservation, is designed to accommodate parties that may be too large to be considered a regular reservation but too small to be considered a private event. Large Party Reservations provide the ability to capture and manage large parties and increase revenue.

Follow these steps to set up the Large Party Reservation event style for your venue:

ENABLE LARGE PARTY RESERVATION EVENT STYLE

1. Head to Settings > Locations.
2. Click Edit Details.
3. Check off Large Party Reservation.
4. Add default set-up and tear-down times if desired.
5. Click Update.
6. Repeat these steps for each location as needed.

To enable which rooms or areas will be selectable for Large Party Reservations, head to Settings > Locations > Edit Room Details. Choose which rooms/areas are designated for On-Premise, Large Party Reservation, or both. This will impact which rooms/areas will be available to select on Direct Book forms.

CONFIGURE SETTINGS

To configure settings for the Large Party Reservation event style, head to Settings > Configuration under Direct Book.

Note: Only users with Customer Admin access can edit the default settings for all locations.
On this page, you can add:

• Event duration limits
  • You can choose not to display an end time for event duration limits if the minimum and maximum are set to the same amount.
    • Example: If the minimum and maximum event duration limit is 2 hours, select “DO NOT display end time,” and the guest can only select the event’s start time. Once the event is submitted, the end time will default to the correct 2-hour end time.
• Lead time limits
• Billing details
• Deposit amounts

UPDATE MENUS

To ensure menus are updated to apply to Large Party Reservations, head to Settings > Menus.

1. Click Edit next to any menu that should appear on Direct Book forms when Large Party Reservation is selected.
2. Select Large Party Reservation underneath Allowed Event Styles.
3. Confirm that locations with Large Party Reservation are also checked off.

UPDATE / CREATE FORMS

1. Go to Settings > Direct Book Forms.
2. Click Edit next to any form that should allow Large Party Reservations.
3. Select Large Party Reservation underneath Allowed Event Styles.
4. Select a guest-facing icon and label (will only display if more than one event style is enabled on the form).
5. Choose to Skip Room Selections if needed.
   1. If togged on, guests can submit an inquiry without choosing a room. The event will appear on the Dashboard as Unassigned, and the room will be selected and assigned at a later date.
6. Add Maximum guest count allowed.
   1. This can be left blank. It is recommended to put in the maximum number of people that the venue considers to fall within the Large Party Reservation event style.
7. Select the Menus that have been applied to the Large Party Reservation event style and are relevant to the form.
8. Under Form Minimums, you can set minimum guest count, booking minimum, and skip menu selections.

Pro Tip: Create a separate form for Large Party Reservations to advertise booking directly for parties of 10-20 people on your website, in addition to a Direct Book form for larger party events.
