If you have a Gratuity Selector tool on one of your document layouts, like the Contract or Invoice, that will mean when you share the document with your guest, they can select the amount of Gratuity they would like to pay. And as long as the Billing Widget has a Billing Detail associated with Gratuity, the selected flat or percentage amount can populate in that section.
As explained in How to add a Gratuity Selector to your documents, you can configure the Gratuity Selector so that the selection applies automatically, or so that a Tripleseat user must apply the selection manually. This article will describe how folks with the latter setup should correctly apply Gratuity amounts chosen by their guests.
HOW THE GUEST SHOULD SELECT GRATUITY
Once you have built masterdocs for your booking, take the following steps to share them with your guest.
- Click Share to the right of the document layout where your Gratuity Selector lives.
You can opt to include an email message to your guest at this time. - When the guest opens the email, they will click on the link to the document. That will open in the guest portal, and they can scroll to Gratuity Selector and choose their amount.
HOW THE TRIPLESEAT USER SHOULD APPLY THE GRATUITY
Once the guest selects Gratuity, the booking in Tripleseat will have a red note on the Masterdocs tab. That will say, “Gratuity of 'X' is Selected but not Applied.” To finalize the selection, you have two options.
Apply Gratuity on the Masterdocs tab
- Go to the Masterdocs tab.
- Click on Gratuity of “X” is Selected but not Applied.
- In the popup window that appears, confirm the decision.
The advantage of this method is that it is quick and easy.
Apply Gratuity from the Billing Widget
- Go to the Masterdocs tab.
- Open the Booking Contract & Event Order.
- Scroll to the Billing Widget. Click Apply this Amount.
- Update.
The advantage of this method is that you can easily see the change to your financials and troubleshoot if required. This article here, How to troubleshoot if applying the selected Gratuity does not increase the booking totals as expected, has more tips about how to troubleshoot if the Gratuity selection does not apply as expected.
HOW TO REVOKE A GRATUITY SELECTION
Occasionally a guest may select an incorrect Gratuity amount and it needs to be changed. (Example: they enter a custom 200% Gratuity instead of typing 20%.)
To revoke a guest’s selection so they may choose again, you should:
- Go to the Masterdocs tab on the booking in question.
- Click on the Gratuity Selection.
- In the popup, click Revoke Gratuity.
This will remove their first selection so they may pick again.
