Billing Details are taxes and fees that add cost to your events or bookings in Tripleseat. They may be a flat dollar amount, or else a percentage rate. To create an entirely new Billing Detail, complete the four processes outlined in this article.
Create the Billing Detail
This step creates the tax or fee in Settings.
- Go to Settings > Billing Details > + New Billing Detail.
- Set a description and internal name (typically the same name).
- Add a default value as a dollar amount or a percentage.
- Select which location(s) this new Billing Detail should be available at.
*If this BD should be an alternate rate at some locations, type that into the Overriding Value field to the right of that venue. - Click Create.
*Note: If this tax or fee should apply on top of another Billing Detail in its calculation, check off the included Billing Detail under “Default Associated Billing Details.” Example- if you charge Sales Tax on top of your Gratuity, you will want to edit the Sales Tax Billing Detail and check Gratuity under “Default Associated Billing Details.”
Add the Billing Detail to the Billing Widget of your Docs
This step will make it so that new tax or fee appears automatically in the Billing Widget of new docs you create.
- Go to Settings > Documents > Contract & Event Order (Edit Template Content) next to the docs where you want this fee to populate.
- Scroll to the Billing Widget.
- Click Add a Row > Billing Detail.
- Give this new row a name.
- Input 1% in the Amount Field. The 1% acts as a placeholder and will populate with the correct location rate as defined in Settings.
- Click on the three dots to the right of the line. Use the Apply to Billing Detail drop-down to select the new Billing Detail you just created.
- Click the Save Template button in the top left.
If you have multiple Document Templates, you’ll repeat these steps on each Template’s Billing Widget.
Update Menu Item Categories
This step will ensure that if you create future items belonging to the category, that item populates with the appropriate taxes and fees by default.
- Go to Settings > Menu Item Categories.
- Select Edit for each Category whose picklist items should be subject to the new Billing Detail.
- Repeat for all MICs as needed.
Update Picklists
This step will update existing Picklist Items in Settings so they are tagged with the new Detail.
- Go to Settings > Picklists > Edit.
- Click Expand All on the right to quickly expand all items.
- If all items have the same category, and if you have just updated that Category, use the “Mass Assign to Category” dropdown to select the Category. That will refresh all items so they are tagged with the most up-to-date version of taxes and fees.
- If items belong to multiple categories, but all require the new Billing Detail, check off that BD under Mass Assign to Billing Detail.
- Click “Save.”
- Repeat for all picklists that require this new BD.
