If your billing totals seem off, the first thing to check is whether the correct billing details are assigned to your Menu Item Categories and Picklists. Menu Item Categories—such as food, beverage, and room rental—help organize your charges for accurate reporting and financial tracking in Tripleseat. Picklists, on the other hand, are collections of individual goods and services that you charge to your guests. Ensuring these are properly set up is essential, as they are the primary way costs are added to events. While you can review and adjust billing details on individual events, it’s important to confirm your default settings are correct so that all newly added items reflect the proper billing information automatically.
HOW TO CHECK INDIVIDUAL EVENTS
- Go to the event > Docs tab.
- Open the Contract & Event Order template.
- Scroll to your first Picklist field.
- Click the 'All' button in the top right corner of the field to expand the Picklist items.
- Check to ensure all the correct boxes are checked under 'Applicable Taxes, Fees, Gratuity, etc.'
- Click Update once all the needed adjustments have been made.
VERIFY MENU ITEM CATEGORIES IN SETTINGS
- Go to Settings > Menu Item Categories.
- Click on an existing category.
- Check to ensure the correct Billing Details are applied to the Menu Item Category. When this Menu Item Category is applied to a Picklist item, these Billing Details will be automatically selected.
- Click Update once all the needed adjustments have been made.
- Repeat for all Menu Item Categories.
VERIFY PICKLISTS IN SETTINGS
This step will update existing Picklist Items in Settings to tag them with the new Menu Item Category.
- Go to Settings > Picklists.
- Hover over the gear icon > Edit.
- Click Expand All on the right to expand all items quickly.
- Check to ensure the correct Menu Item Categories and Billing Details are applied to the Picklist items.
- If all items have the same category, and if you have just updated that Category, use the “Mass Assign to Category” dropdown to select the Category. That will refresh all items so they are tagged with the most up-to-date version of taxes and fees.
- If items belong to multiple categories, but all require the same Billing Detail, check off that Billing Detail under Mass Assign to Billing Detail.
- If only certain items need to be adjusted, you can update those individually using the Category dropdown and the Applicable Taxes, Fees, Gratuity, etc. section that is directly under the Picklist item.
- Click Update once all the needed adjustments have been made.
- Repeat for all Picklists.
