Once you have detailed out documents, as explained here, How to create documents for an Event, you will then want to share the document with your guest. Thay way, they can sign off on the terms and pay a deposit if your venue requires one.
This article will provide best practices for sharing documents (e.g. BEO, Contract, Invoice) with your guest.
To share a Doc Layout with a guest via Discussion, you should:
- Go to the Docs tab for the event.
- Click Share to the right of the layout you want to make available (e.g. the Contract).
- In the pop-up window, compose your email as needed and click Send.

Once you click Send, your guest will receive the email and a link to the layout you shared in the Guest Portal. If your venue integrates with a credit card processor, your guests will be able to authorize their card or pay online by following the email link to the Doc. You will also notice an "Unshare" option next to the layout, which indicates the layout has been shared with your guest!
To share a Doc Layout with a guest without emailing, you should:
- Go to the Docs tab for the event.
- Hover over the three dots to the right of a document layout.
- Choose the option for Share to Guest Portal Only.
